Add and edit a budget #
Budget can be found here:
A project can contain several budget lines or budget envelopes. Each budget line can correspond to a type of expense or income. It is sometimes interesting to monitor each budget line separately in order to monitor its evolution separately.
To add a budget line to a project, click on”+ Budget” at the top left of the budget management screen:
Depending on your organization, you can edit your budget in m.d or in currency or both. You have a selector for this at the top of the screen.
You can now enter your budget in the area indicated below.
When you assign a resource to a task, you can indicate to which budget this allocation is attached. With each new allocation, the “planned” and the “realized” will be automatically integrated into the budget.
You also have the option to add currency or d.h envelopes manually by clicking on the ‘+’ to the right of “Planned” or “Done” as shown below.
Setting up the budget entry display #
At the project level, budget entry can be configured to show only the items you need. This configuration is done at the project definition level, as shown below:
Once in the configuration, you must go to the “Budget” tab.
It is possible in FoxPlan to manage “Costs” or “Revenues” and for each of these elements you can follow in detail:
- The budget
- The forecast or the landing
- The planned
- The realized
By selecting or deselecting budget items, they will not be displayed when entering the budget and your screen will then be simplified.
For example, you can deselect “revenue” if your projects only generate costs.
Or deselect “Planned” in “Cost” if you do not directly generate the actual without following the planned at the budget level.
Configure budget management #
The budget is configurable, to access the configuration you must go to the “Settings > Workspace” menu.
Once in the dialog box, you must choose the “Budget” tab.
In this tab you will have the possibility to:
- Set default currency
- Set the budget closing date
- Create new versions of the budget by adding or duplicating existing versions
- Change the status of budget lines.
Remember to save at the bottom of the screen after each modification!
Analyze a budget (pivot table) #
You have the possibility to analyze your budgets at the project or project portfolio level using a pivot table integrated into the application.
Budget can be found here:
To access the pivot table, simply select “Analysis” on the top of the screen.
All the fields are available at the top of the screen : drag&drop them in the pivot table to get results.
On the right of each field you have the possibility with the 3 lines to filter as described below.
